PortFlow Privacy Policy
PortFlow is a transportation management system for port trucking teams. This Privacy Policy explains how PortFlow collects, uses, stores, and protects information from the PortFlow website, dispatch dashboard, driver mobile experience, demo request form, and related services.
Information We Collect
PortFlow may collect or process the following information:
- Company and tenant account information, including company name, contact name, email, phone number, account status, and subscription notes.
- User account information, including names, emails, roles, driver IDs, and company assignments.
- Transportation and load information, including pickup, delivery, return, container, chassis, reference, appointment, rate, status, and billing details.
- Driver updates, including load status changes, ETA details, uploaded paperwork, and optional location updates when enabled by the driver.
- Documents uploaded into the system, such as PODs, BOLs, EIRs, fuel receipts, delivery receipts, images, and PDF files.
- Fuel, accounting, invoice, settlement, deduction, reimbursement, and customer payment information entered by authorized users.
- Demo request information submitted on the public website.
- Basic technical information needed to operate, protect, debug, and improve the service.
Camera, Files, and Document Uploads
PortFlow may request camera, photo, or file access only when a user chooses to scan or upload paperwork. Uploaded documents are linked to the relevant load, shipment, fuel record, billing record, or settlement workflow.
Location Information
Driver location tracking is used only when enabled for dispatch visibility and operational tracking. Location information may be shown to authorized dispatch or management users in the same company account.
PortFlow does not use information collected from the app to track users across apps or websites owned by other companies, link it with third-party advertising data, or share it with data brokers.
How We Use Information
PortFlow uses information to:
- Provide dispatch, driver, customer, billing, settlement, document, and tracking features.
- Create and manage company tenant accounts and demo requests.
- Support customer billing, driver payroll, document packets, and operational reporting.
- Maintain security, prevent unauthorized access, troubleshoot issues, and improve service quality.
- Communicate with companies that request a demo or use PortFlow services.
Sharing
Company, driver, load, billing, and document information is shared only with authorized users in the appropriate company account or with service providers needed to operate PortFlow. PortFlow does not sell personal information.
Third-Party Services
PortFlow may use third-party services for hosting, maps, storage, messaging, port API integrations, and other operational needs. These providers process information only as needed to support PortFlow functionality.
Data Storage and Security
PortFlow uses account authentication, role-based access, HTTPS hosting, and reasonable technical safeguards to protect data. No method of electronic storage or transmission is perfectly secure, but PortFlow works to protect company, user, load, document, billing, and settlement information from unauthorized access.
Data Retention and Requests
Operational records may be retained as needed for dispatch, billing, payroll, audit, compliance, and customer service purposes. Users may contact their company administrator or PortFlow to request correction, export, or deletion where appropriate and legally permitted.
Children
PortFlow is intended for business use by transportation companies and their authorized users. It is not intended for children.
Changes to This Policy
PortFlow may update this Privacy Policy from time to time. The effective date above will be updated when changes are made.
